Great events are not lucky — they are planned. This checklist walks you through planning an event in Nigeria from the first idea to the final thank-you message, with the budget traps local organisers know too well.

    1. Define the goal, guest list and date

Start with the "why". Is this a product launch, a wedding, a conference or a festival? The purpose determines the venue, the format and the budget. Then:

    • Set a realistic guest number — catering and venue cost scale directly with it.
    • Pick a date, avoiding clashes such as Detty December, when Lagos vendors and venues price at a premium, unless that is your target season.
    • Note the season: the rainy months (roughly April to October) affect outdoor planning.

    2. Set a realistic budget in Naira

Build the budget before you fall in love with a venue. A simple split for many Nigerian events:

    • Venue and logistics: 20–30%
    • Catering and drinks: 25–35%
    • Decor, production and AV: 10–20%
    • Photography and video: 5–10%
    • Entertainment and MC: 5–10%
    • Contingency: at least 10%

Always hold back contingency — inflation, fuel costs and FX movement can move prices between booking and event day. For a detailed breakdown, see our corporate event budget template and wedding cost breakdown.

    3. Choose a venue and date

Lagos, Abuja and Port Harcourt have the deepest venue supply, but each has quirks — traffic, power and parking. Ask about:

    • Real capacity (not the "standing" number).
    • Generator and power backup.
    • Parking and access for suppliers.
    • What is included: tables, chairs, security, cleaning?

Our guide on how to choose an event venue in Nigeria covers contracts and site visits.

    4. Build your vendor team

Most Nigerian events need a core vendor list: catering, decor, AV and lighting, photography and video, an MC or band, security and ushers. Vet each one, agree payment terms in writing and, where possible, work with accredited professionals. See our event vendor checklist and search the talent board for verified suppliers.

    5. Promotion, ticketing and guest management

    • For public events, plan your promotion calendar early — social media, community groups and partner shout-outs.
    • Use a reputable ticketing platform and think about payment methods guests actually use (cards, transfer, USSD).
    • Manage RSVPs and build a guest manifest early. See event ticketing and guest management in Nigeria.

    6. The event-day run sheet and wrap-up

A run sheet is a minute-by-minute plan: vendor call times, rehearsals, guest arrival, programme items and the exit plan. Share it with your team and key vendors. After the event, do a short review while memories are fresh and send thank-you messages — it turns a one-off into a relationship.

    Budget calculator

A quick rule of thumb: for a seated event in Lagos, per-guest costs often start around ₦15,000–₦25,000 for a mid-range event and rise steeply for premium venues, décor and entertainment. Always confirm quotes from at least three vendors.

    Frequently asked questions

How far in advance should I start planning an event in Nigeria?
For a large event, start six to twelve months ahead. For a wedding or conference of a few hundred guests, three to six months is reasonable, and you should lock your venue and date first because they drive everything else.
What percentage of an event budget should be contingency in Nigeria?
Hold back at least 10%, and up to 15% for large events, to absorb inflation, currency movement and last-minute changes to catering numbers or guest list.
